Privacy Policy
Your event footage is the most personal thing we handle. This explains what we collect, who touches it, how long we keep it and how to get it deleted.
Scope
Who this covers.
This policy covers the Recorderly website and the service you get when you book a kit or an editing package. It applies to you as the person booking, and to the people who appear in the footage that comes back to us.
We are the controller of the information described here. Where a term isn't defined below, it has the meaning given in our Terms of Use.
What we collect
Four kinds of information, and where each comes from.
Order information you give us. Your name, email, shipping address, the event type and date, the venue city, roughly how many guests, the name of whoever is being celebrated, and any notes you leave — including instructions about people or moments to keep out of the film, and language preferences.
Checkout forms you don't finish. The booking form saves what you have typed as you go, so that closing the tab doesn't lose it. If you leave without ordering we keep that partial form — including your email address, if you reached that field — for 90 days, and then it is deleted automatically. We use it for one thing: sending you a single email about the booking you didn't complete. Nothing is reserved and nothing is charged.
Payment information. Card details are entered with and handled by our payment processor. We receive a confirmation, the amount, and the last four digits and card type. We never see or store your full card number or security code.
Footage and audio. Everything recorded on the kit and returned to us, or uploaded by you on the editing-only package. This includes images of faces and recorded voices, and can include anything else visible or audible at your event. Video files also carry technical data such as timestamps and camera settings.
Site and support information. Emails and messages you send us, and standard technical data when you browse — IP address, browser and device type, pages viewed and referring links.
We do not ask for and do not want government ID numbers, health information or financial account details beyond what the processor needs.
Footage, and the people in it
The part that matters most.
Footage from your event contains personal information about people who never filled in a form — your guests, your family, children, staff at the venue. We treat it accordingly.
- Footage is used only to produce and deliver your film and the add-ons you bought. It is not used to train anything, not sold, and not shared with anyone outside the people listed in section 05.
- It is never posted publicly, shown as an example or used in marketing unless you separately and explicitly agree. The default is no, and you can withdraw that agreement at any time before we publish anything.
- There is nothing to switch on. Every order is handled this way — you don't mark yours private, because it already is. You can name one person to approve the cut in your order notes, and we delete the raw footage once your film is delivered if you ask.
- You can tell us in your notes to keep a specific person, a moment or an entire stretch of the night out of the film. Flag it before the edit, or at the rough-cut stage.
Your part. Because guests hand the cameras around, you are the one in a position to tell them the event is being filmed and to respect anyone who'd rather not be. You're responsible for doing that, and for following the recording and consent laws where your event takes place. Some states require every participant in a conversation to consent to being recorded.
If you appear in footage and want it removed: ask the person who booked the event, or email us at privacy@recorderly.com and we'll work with them. We can remove someone from a film that hasn't been finalized, and we can delete raw clips, but we can't retrieve copies already downloaded and shared by the customer.
How we use it
A short and closed list.
- Fulfilling your order: shipping the kit, tracking its return, editing the footage, delivering the film.
- Labeling the kit and personalizing the film with the honoree's name.
- Taking payment, applying refunds, and invoicing for late returns or replacement equipment.
- Support — answering your questions and handling problems.
- Transactional email: order confirmation, shipping notice, rough cut and delivery links.
- Keeping the service secure, preventing fraud, and meeting tax and legal obligations.
- Improving the site in aggregate — how many people reach checkout, which pages get read.
- Measuring and targeting our advertising — knowing which ads lead to bookings, and showing our ads to people who visited the site.
- Sending one email about a booking you started and didn't finish. One — not a series — and it carries a one-click unsubscribe.
Marketing email is separate from the transactional messages above, and unsubscribing from it doesn't stop the emails you need to receive your film. The only message we send without you having asked for it is that single note about an unfinished booking. Unsubscribing from any of our email stops all of it, including the reminder if you signed up for one.
We don't sell your information, and we don't upload the details from an unfinished booking to advertising platforms.
How long we keep it
Footage goes. Records stay a little longer.
- Footage and finished films: twelve months after delivery, held offline on drives in our studio rather than in a cloud account, then destroyed. Download and back up your film when the link arrives — your copy is the one that matters, not ours.
- Raw footage: deleted right after delivery if you ask.
- Order and payment records: kept as long as tax and accounting rules require, typically seven years. These are names, addresses and amounts, not footage.
- Unfinished checkout forms: 90 days from when you last touched the form, then deleted automatically.
- Support email: about two years.
- Site analytics: aggregated, and not tied back to you as an individual.
Deletion removes files from live systems and from routine backups on the backup rotation cycle.
Your choices and rights
What you can ask for, and how.
You can ask us to give you a copy of the information we hold about you, correct it, or delete it. You can withdraw permission to show your footage publicly, opt out of marketing email, and ask that raw footage be deleted early.
Depending on where you live — California, Colorado, Connecticut, Virginia and a growing list of other states, and the EU or UK — you may also have the right to know what we collect, to a portable copy, to appeal a refusal, and to be free from discrimination for exercising these rights. We don't sell personal information, but we do share browsing data for targeted advertising, so that one you can opt out of: turn on Global Privacy Control in your browser, block the ad scripts with any content blocker, or email us and we'll record the request.
Email privacy@recorderly.com. We'll verify that the request comes from you or someone authorized to act for you, and reply within 45 days. There's no charge. If we can't do what you asked, we'll tell you why.
Two honest limits: we can't delete records we're legally required to keep, and we can't recall a film the customer has already downloaded and shared.
Cookies, analytics and ads
What runs, and how to stop it.
The site uses cookies that keep it working — remembering your checkout selections during a session — and analytics from PostHog to count page views, see which pages people read, and find where the booking form goes wrong.
Advertising tags. Every page also loads the Google Ads tag, the Meta pixel and the OpenAI measurement pixel. They set cookies of their own, tell Google, Meta and OpenAI which page you opened, and let us show our ads to people who have been here — which is cross-site tracking, and we'd rather say so than call it something else.
When you book, all three are told a sale happened, so we can see which ads work. Google Ads and OpenAI get the order number and the amount. Meta gets the order number, the amount, and a one-way scrambled version of your name, email, phone and shipping city, state and zip — that last part is what lets Meta match the sale to an account, and we send it from our own server, so blocking scripts in your browser does not stop it. What we never send any of them: your street address, your notes, your event or honoree, and anything about your card. We don't upload customer lists to any of these platforms, and we don't run this on the admin side of the site at all.
Session recordings. PostHog also records how a visit moves through the site — pages, scrolling, clicks and typing speed — so we can see where people get stuck. What you type is not recorded. Every form field is masked before the recording leaves your browser, so your name, email, phone, address and notes are never in it, and card details are typed inside Stripe's own frame, which we cannot see into at all. Recordings are kept for 30 days and are used only to fix the site.
If you place an order, we send your email address to PostHog along with your order number, so we can tie a booking back to the visit that produced it and see which pages actually lead to orders. That is the only thing from the booking form that ever reaches our analytics — not your name, phone, address, notes, or anything about your card. Browsing the site without ordering stays anonymous. Ask us at privacy@recorderly.com and we'll delete it.
You can block or delete cookies in your browser, and any content blocker will stop the analytics, the session recording and all three advertising tags — booking still works with all of it blocked. The site still works; some conveniences won't survive a page reload. We honor Global Privacy Control signals where the law requires it. You can also limit ad personalization at Google My Ad Center and in your Meta account settings.
Security
What we do, and what we can't promise.
Footage is stored encrypted, transferred over encrypted connections, and reachable only by the editors assigned to your order. Delivery links are unguessable and expire. Cards are handled by the processor, not by us.
No system is perfectly secure, and we won't claim otherwise. If a breach affects your information, we'll notify you and the relevant regulators as the law requires.
Memory cards are wiped and reformatted between bookings, so the next customer never receives a card carrying your footage.
Children
Kids are at these events. That's the point.
This site and the booking process are for adults. We don't knowingly collect information directly from anyone under 13, and children shouldn't be entering information here.
Children do appear in footage — a bar or bat mitzvah, a quinceañera, a sweet sixteen, a family wedding — and that's expected. Their footage is handled exactly like everyone else's: used only to make your film, never shown publicly without explicit permission, and deleted on the same schedule. As the host, you're responsible for the agreement of the parents or guardians of any minors who appear. A parent or guardian can email privacy@recorderly.com to ask that a child be cut from a film or that their clips be deleted.
Changes and contact
How you'll know if this changes.
We may update this policy. The effective date at the top always reflects the current version, and we'll email customers with an open order before a material change takes effect.

Your event is kept quiet.
That's the standard on every order, not a box you tick. It's never posted, never shown as an example, and the raw footage goes as soon as your film is delivered if you ask.
